Description

AC Corporation is seeking an experienced Billing Coordinator with strong AIA progress billing expertise to support our growing mechanical construction operations.

This role is ideal for someone who understands construction billing inside and out — particularly AIA applications, schedules of values, retainage, and percent-complete reporting — and enjoys partnering closely with project managers to ensure accurate, timely invoicing.

What You’ll Do

  • Prepare, edit, and submit AIA progress payment applications

  • Manage schedules of values, change orders, retainage, and percent-complete updates

  • Ensure billing aligns with contract terms and approved project documentation

  • Create and maintain job setup in Viewpoint Spectrum ERP

  • Track contract balances and retainage releases

  • Partner with project managers to ensure all costs are captured and properly invoiced

  • Use Excel tools (pivot tables, lookups, filters) to analyze and report billing data

  • Communicate with GCs, subcontractors, and clients to resolve discrepancies and secure approvals

What We’re Looking For

  • 3+ years of progressive AIA billing experience (required)

  • Strong understanding of construction contracts and progress billing

  • Associate or bachelor’s degree in Accounting or Finance (preferred)

  • Experience in HVAC or mechanical contracting (strongly preferred)

  • Proficiency in Excel and ERP systems (Viewpoint Spectrum experience a plus)

  • Detail-oriented, organized, and comfortable working cross-functionally
